General Summary of Duties:
The Adjustments Specialist is responsible for the validation, approval routing and processing of all adjustment, write off and refund requests.
Typical Physical Demands:
Requires sitting and standing for long periods of time. Work is performed in an office environment. Some bending, lifting and stretching is required. Manual dexterity required for use of calculator, computer keyboard and mouse.
Principal Duties and Responsibilities:
- Reviews all adjustments tasks submitted in NextGen and fully validates each request in a timely manner.
- Routes validated adjustment requests for approval based on the Signing Authority Policy, taking care to ensure the information presented to the approving manager clearly outlines the reason for the adjustment as well as the amount.
- Processes all approved adjustments received via NextGen tasking or on spreadsheets with complete accuracy.
- Writes off all balances sent to the Plus Four collection agency at month-end with complete accuracy.
- Works daily reports generated by the system to identify credit balances resulting from the previous day’s payment posting. Each balance must be reviewed and fully resolved.
- Reconciles the balance transfers to ensure the "Transfer To" and "Transfer From" amounts net to $0.
- Reviews, validates and processes all refund tasks submitted in NextGen.
- Completes Refund Request Forms and submits them for processing.
- Batches all refund requests and routes them to Accounts Payable on a weekly basis. Posts the refund transactions in NextGen.
- Reviews the Balance Control report on a daily basis to resolve open debit and credit balances when the line balance nets to $0.
- Performs other duties as required by management.
Key Competency Requirements:
- Requires high school diploma or GED.
- Requires knowledge of HIPAA regulations.
- Excellent verbal and written communication skills required.
- Requires a high level of accuracy and attention to detail.
- Requires ability to effectively use Microsoft Word, Excel and Outlook.
- Must be able to work effectively both independently and with team members.
- Must be able to interact in a consistently professional and courteous manner with colleagues, patients, physicians and all others with whom contact occurs in the workplace.
- Ability to properly utilize basic office equipment, including multi-line phones, copy and fax machines, and other office equipment.

- Review and fully validate all adjustment requests tasks timely and thoroughly.
- Route validated and accurately documented adjustment requests for approval based on the Signing Authority Policy.
- Work daily reports to resolve credit balances based on previous day’s payment posting.
- Review, validate and process all refund requests timely and accurately.
- Post all approved adjustment transactions in NextGen with complete accuracy.
- Demonstrates high levels of customer service to both our internal and external customers.
- Follows HIPAA regulations and protects PHI.
- Demonstrates high reliability through consistent punctuality and attendance.
- Maintains focus on the assigned workloads without allowing distractions.
- Demonstrates overall professionalism in attitude, demeanor and personal appearance.
